2. Hosting and server logs

This website is hosted by IONOS SE (Germany). When you visit it, the web server temporarily records technical data such as IP address, date and time, requested file and browser type. We use this data only to run and secure the site. Logs are deleted after the retention period of the hosting provider.

3. Cookies

The public pages do not set cookies and do not use tracking or analytics tools. Technically necessary session cookies are used only in the login areas (customer portal administration, internal area) and are deleted when you close the browser.

4. Contact form and e-mail

If you use the contact form we process the name, e-mail address and message you enter, to answer your enquiry (legal basis: your consent and our legitimate interest in business communication). The message is sent to our mailbox and is kept as long as needed to handle the request and for statutory retention periods.

To protect the form against abuse we store a shortened, non-reversible hash of your IP address together with a timestamp for up to 30 days to limit the number of submissions. The raw IP address is not stored for this purpose. No external CAPTCHA service is used.

If you write to us by e-mail, we process your address and message content in the same way.

5. Customer portal

Customers of 4MTracking who receive a personal access link can submit bug reports and feature requests, attach files and vote. We store the content, files, the time and the customer account the entry belongs to, in order to handle support. Notification e-mails are sent to the address on file.

6. Software licensing (3D Letters)

To activate and verify licenses of our desktop software "3D Letters" we process the license key, a machine identifier generated by the app, the computer name, the app version, the IP address and timestamps of activation, check-in, release and download. We use this data to provide the license, to limit the number of activated computers and to detect misuse (legal basis: performance of the contract and our legitimate interest in protecting the software). Activation data is kept as long as the license exists. Log entries including the IP address are deleted automatically after 90 days. Customers can see and release their activated computers on their personal license page.

7. Fonts

The font "Oswald" is hosted on our own server. Your browser does not contact Google or other third parties to display the pages, so no data is transmitted for this purpose.

8. Your rights

Subject to the applicable law (POPIA in South Africa, GDPR for visitors in the EU/EEA) you have the right to access, correct, delete and restrict the processing of your personal data, to object, and to data portability. To exercise these rights, contact us at the address above. You may also lodge a complaint with the competent supervisory authority (in South Africa: the Information Regulator).

9. Changes

We may update this policy when the website or legal requirements change.
